Business Document Storage: How to Organise and Store Files Safely

Amarsons Prime Storage Team   15 Oct

Every business builds up paperwork — invoices, contracts, tax records, employee files, project documents. Over the years, these files take up valuable office space, become hard to find and are exposed to risks like water damage, pests and loss. Off-site document storage is a simple way to keep records safe while freeing up space in your office.

Why businesses move documents off-site

  • Save office space — filing cabinets and boxes take up room that could be used for staff or work areas.
  • Better protection — a dedicated storage facility keeps files away from everyday office risks such as leaks, clutter and accidental disposal.
  • Organised retrieval — properly indexed boxes make it easier to find a specific file when an auditor, lawyer or client asks for it.
  • Controlled access — only authorised people can request or retrieve stored records.

Step 1: Decide what needs to be kept

Start by sorting documents into active files you use regularly, archive files you must keep for legal, tax or audit reasons, and files that can be securely destroyed. Different types of records have different retention requirements, so check with your accountant or legal advisor how long each category needs to be kept.

Step 2: Organise and index before boxing

Group files by department, year or client, and keep the same order inside each box. Create an index — a simple spreadsheet works well — that lists each box number and what it contains. This index is what turns a pile of boxes into a usable archive.

Step 3: Use proper archive boxes

Use strong, uniform archive boxes with lids rather than mixed cartons. Do not overfill them, as heavy boxes are hard to handle and can split. Label each box clearly on the front and one side with the box number, department and date range.

Step 4: Protect sensitive information

Mark confidential boxes, limit who can request them, and keep a record of every retrieval. Original documents that are irreplaceable should be handled with extra care, and scanning important records adds a digital backup.

Step 5: Plan how retrieval will work

Before you store anything, agree with your storage provider how you will request a box or file, how quickly it can be delivered, and who in your team is allowed to make requests.

Questions to ask a document storage provider

  • How is the facility secured and how are boxes tracked?
  • Do you offer pickup from our office and delivery when we need files back?
  • How do you handle access requests and keep records of them?
  • Is insurance available for stored records?
